One connected platform for your academy

Members, progression, and the mat - in one place.

Manage programs, levels, classes, attendance, payments, forms, staff, families, and progress without fragmenting the member experience.

Your curriculum, your hierarchy

Reef learns your ranks. It does not bring its own.

Your academy defines its own program and level hierarchy, its own skill categories, its own requirements, and how many pass-offs a requirement takes. Nothing about rank order, colour, or terminology is preconfigured.

That matters because no two systems agree. A BJJ academy, a taekwondo school, and a karate dojo all need progression, and none of them wants someone else’s belt chart imposed on it.

  • Program and level hierarchy defined by your academy
  • Skill categories organized by program
  • Requirements with pass-off counts
  • Instructors record pass-offs with notes and attribution
  • Progress visible in the staff and family experiences
  • Attendance history and rates on each member’s record

Reef records requirements, pass-offs, and attendance. It does not run grading or testing events as a separate feature, and it does not issue rank certificates.

Technique set 4 of 6 pass-offs ! In progress

Membership economics

Recurring tuition that runs itself, and a family that can see it.

Academies live on recurring membership. Reef runs it through your own Stripe account, with your own payouts.

What your office controls

  • Recurring tuition and one-time plans, with intervals and billing anchors
  • Proration when someone joins mid-cycle
  • Family and member discounts, flat or percentage fees, fee absorption
  • Nightly jobs that generate invoices, charge due items, and process overdue status
  • Manual payments, refunds, and bulk plan assignment or removal

What the family sees

  • Balances, itemization, statements, receipts, and year-to-date paid
  • Pay one invoice or all outstanding
  • Cards and ACH, with payment methods they manage
  • Auto-pay they can switch on themselves

Finance reporting is operational rather than accounting.

On the mat

Class rosters, attendance, and who is actually showing up.

Attendance is the leading indicator in a membership business. Sessions can be opened, closed, reopened, batch marked, and noted using five statuses, and reported by member, class, or date range.

Classes carry capacity, coach, location, program, level, multi-day times, and resource assignment - so open mat, kids’ classes, and competition training can all live on the same 15-minute weekly grid without colliding.

Explore attendance and progress

  • Five attendance statuses
  • Batch marking and session notes
  • Attendance rates on profiles and dashboards
  • Capacity, waitlists, and drop-ins
  • Absence reporting and policy-based makeup credits
  • Makeup booking and standby
Paperwork and access

Waivers on file, and the right people able to see them.

Forms that gate enrollment

Build forms over your existing PDFs, assign them automatically, and verify them before an enrollment completes. Expiry and renewal are tracked.

A document archive

Upload, scan multi-page documents from a phone, search, and track expiry - with a sensitive tier for what should not be widely visible.

Incidents on the record

Numbered incidents with type, priority, status, people, attachments, notes, and a timeline, linked where they relate.

The incident record is not an emergency-response system or a regulatory filing tool.

Bring every role into the same current.
