Attendance, skills & competition records

Make progress visible to the people who help create it.

Connect attendance, skills, pass-offs, program levels, and competition history to each athlete’s ongoing story.

One record

Every session, skill, and score lands on the same athlete.

Attendance, skill pass-offs, makeup credits, and competition results all attach to one athlete record. The coach on the floor and the guardian at home are reading the same history, from the same source, in the same application.

  • Attendance sessions and notes
  • Skill pass-offs with attribution
  • Program and level context
  • Makeup credits and bookings

How it happens

Three moments where progress actually gets recorded.

None of them asks a coach to leave the floor, a staff member to re-enter the same information twice, or a parent to call the front desk to find out how practice went.

→ In the gym

The attendance session

Staff open a class session, mark the roster in a batch, add a note about how the class went, and close it. A session can be reopened when something needs correcting, and five attendance statuses cover the ways a class actually turns out.

✓ Recording growth

The skill pass-off

Your organization maintains its own skill library, organized by program, with categories, levels, requirements, and pass-off counts. Authorized coaches record pass-offs with notes and attribution, so the record shows who signed off and what they saw. Reef stores the coach’s judgement - it does not make it.

◻ The family view

The same story at home

Skill progress, attendance rates, and competition history appear in both the staff and guardian views of the same record. Families follow an athlete’s progress through the family experience - there is no separate athlete sign-in to hand out.

Your programs, levels, and requirements are the ones you define. Reef does not ship a standardized curriculum, and it does not judge or score a skill on a coach’s behalf.

Absences and makeups

Turn a missed class into a class the athlete attends.

A parent reports the absence in the family experience. Under your policy, Reef can create a makeup credit with a configurable expiry, and the family can find a spot without a phone call. Whether a credit is created - and whether it needs approval first - follows the policy your organization sets.

  • Parent-reported absences
  • Policy-based credits with configurable expiry
  • Redemption limited to any open class, or to the same program and level
  • Families request and book makeups, or join standby
  • An expiring offer can move to the next family in line
  • Makeup slot fill-rate insights for staff

Credits are redeemed inside your own organization. Fill-rate insights describe how offered slots were used - they are not a revenue forecast.

Competitions

Keep every score with the athlete who earned it.

Reef stores per-athlete competition records: events, individual scores, totals, past history, and upcoming events - on the same profile that already holds skills and attendance.

Competition records, not meet management.

To be plain about the boundary: Reef records how an athlete did. It does not run a meet, register a team into one, or score or judge a competition. Those stay in whatever you use today.

Athlete · Competition history
Spring Invitational Four events recorded · all-around total stored ✓ Recorded
Regional Classic Event scores entered by staff ✓ Recorded
Summer Showcase On the athlete’s upcoming list → Upcoming
What is in the platform

The parts that make progress legible.

  • Attendance by athlete, class, or date range
  • Five attendance statuses, with session notes

The athlete record

A profile can include identity, program, level, group or team, coach, avatar, medical and emergency details, sizes, notes, and activity tabs. Sensitive fields are visible according to permission.

Staff notes stay staff notes

Internal notes are kept separate from family-visible information, so a coach can write what they need to write for colleagues without it appearing in the family experience.

Attendance reporting describes what has happened. Reef does not predict future attendance or forecast which athletes will leave.

Access and control

Not every coach should see every athlete.

Staff can be limited to all athletes or only their assigned groups, and that limit is enforced in the interface and in the database rather than by a screen hiding a button.

Review the security and access approach

Progress also touches classes and scheduling, communication, enrollment and families, and documents, forms and safety.

Bring every role into the same current.
