Product tour

Walk through Reef, stop by stop.

Ten stops, in the order a day actually unfolds - from the first thing an owner sees in the morning to the progress a coach records at the end of a class.

This tour uses illustrations of the interface rather than screenshots. A walkthrough of the real product with your own programs is available on request.

Stop 1 · the owner’s morning

Know what needs attention today.

The admin dashboard opens on exceptions rather than on a wall of charts. Attention items come first; metrics, trends, capacity, clocked-in staff, today’s classes, the schedule, and recent activity sit behind them.

Stop 2 · the front desk

Every enrollment in progress, in one board.

Staff track enrollment drafts through invitation, verification, requirements, readiness, and completion - so a half-finished sign-up is a visible state rather than a sticky note.

Stop 3 · staff-assisted enrollment

Start it at the desk. Finish it with the family.

Staff guide enrollment from athlete and household selection through class handoff without leaving the flow, and Reef flags potential duplicate athletes before a second record is created. The remaining steps go to the guardian by email, by QR code, or on a controlled shared device - and can be saved and resumed.

Stop 4 · the guardian confirms

The moment money and capacity meet.

This is the step most systems get subtly wrong. Reef authorizes the charge, claims the seat, then captures payment.

A parent is never charged for a seat they didn’t get.

If the class fills during checkout, the authorization is cancelled. If a later failure occurs, the charge is automatically refunded. Enrollment supports card, ACH, and $0-due-today paths.

If the class filled Authorization cancelled instead → Safe
Stop 5 · the resource schedule

Draft, review, publish.

Classes are planned on a 15-minute resource-based weekly grid. Changes are held as a draft until you publish, conflicts are reviewed first, and publishing applies the plan and sends the automatic announcement.

Stop 6 · the family opens the app

The home feed leads with what needs doing.

Guardians see schedules, messages, invoices, forms, absences, makeups, skills, attendance, competitions, and updates for every child - and each item opens the thing it is about.

See the family perspective

Stop 7 · paying for it

Pay one, or clear the lot.

Families see balances, itemization, statements, receipts, and year-to-date paid. They can pay a single invoice or all outstanding invoices, manage cards and ACH, and switch on auto-pay themselves.

Explore billing and payments

Stop 8 · a missed class

Credits, bookings, and standby.

A parent-reported absence can create a policy-based makeup credit with a configurable expiry. Credits can be restricted to any open class or to the same program and level. Families book an open spot or join standby, and an expiring offer can move to the next family. Staff see makeup slot fill-rate insights.

Stop 9 · end of class

The pass-off, recorded where it happened.

Organizations maintain a skill library with categories, levels, requirements, and pass-off counts, organized by program. Authorized coaches record pass-offs with notes and attribution, and that progress appears in the staff and family experiences.

Stop 10 · more than one site

Change scope, and the platform follows.

A global location control scopes operational screens. Location-restricted access is enforced in the database, while organization-wide records stay visible.

That is the tour.

Ten stops covers the shape of the platform, but not your organization. The useful next conversation is the one about your programs, your locations, and the workflow that currently costs your front desk the most time.

Bring every role into the same current.
