Move families from interest to enrolled - without losing control.
Start at the front desk, hand off to a guardian, and let Reef coordinate the class, household, requirements, price, payment, and seat.
One enrollment, tracked from first conversation to claimed seat.
An enrollment is rarely finished in a single sitting. A parent asks about a class at the counter, a sibling needs a different level, a waiver is still unsigned, and the card is in a bag in the car. Reef holds that whole sequence as one record staff can watch and finish.

Waiting on a guardian

Staff guide the enrollment, in one place.
Staff can guide enrollment from athlete and household selection through class handoff without leaving the flow. No second screen for the athlete, a third for the family, and a spreadsheet for who still owes a form.
Before a second record is created, Reef flags potential duplicate athletes - the twin spelled two ways, the sibling entered last season, the family that already enrolled at your other location. Staff decide what happens next; Reef simply refuses to let the duplicate pass by unnoticed.
- Athlete and household selection in the same flow
- Potential duplicate athletes flagged before a second record exists
- Class, program, and level chosen with live capacity in view
- Remaining steps handed to a guardian without retyping anything

Hand the rest to the parent, on the device in their hand.
Staff can hand remaining enrollment steps to a guardian by email, QR, or a controlled shared device at the counter. The guardian enters what only they can answer, and the front desk gets its counter back.
Enrollments save and resume, so a form abandoned in the parking lot is still waiting that evening. Required enrollment forms are automatically assigned and verified before completion, which means the waiver is signed before the first class rather than chased after it.
The last ten seconds of checkout, handled carefully.
Two parents can reach the payment step for the same last seat at the same moment. Reef coordinates authorization, locked seat claim, capture, cancellation, and refund so the outcome is unambiguous for both of them.
A parent is never charged for a seat they didn’t get.
Reef authorizes the charge, claims the seat, then captures payment. If the class fills during checkout, the authorization is cancelled. If a later failure occurs, the charge is automatically refunded.
The price is calculated by Reef, not by the browser, so the amount confirmed is the amount your organization configured.
The details that decide whether enrollment actually works.
- Card, ACH, and $0-due-today payment paths
- Class capacity and waitlists
- Auto-promotion when someone drops
- Drop-ins and makeup eligibility
Payments are processed by Stripe, and available payment paths depend on each organization’s configuration. Reef flags potential duplicates for a human to resolve; it does not claim perfect identity matching.
Built for real families, not perfect family trees.
A family can be the hub for household billing and access, while access itself reflects how the household actually works. Guardians can receive full-action or strictly view-only household seats, and a guardian outside the household can receive child-specific access without a second bill or household-ledger visibility.
One child. One household. One bill.
Access can be blocked or downgraded for one child without changing the others, and where there is no valid seat or grant, there is no access.
Reef models the access your organization decides to grant. It does not verify custody arrangements on its own, and it is not a substitute for legal advice about family law where you operate.
The same enrollment, seen from four sides.
Navigation, actions, and data access follow each person’s role, permission, location, and relationship.
Enrollment power, limited to the people who should have it.
Location assignment gates data. Permissions gate actions.
Roster scope can be every athlete or assigned groups only, internal staff notes stay separate from family-visible information, and both are enforced in the interface and in the database rather than by a screen hiding a button.
Review the security and access approach
An enrollment also touches classes and scheduling, billing and payments, documents, forms and safety, and communication.
Bring every role into the same current.
