Make billing visible, automatic, and family-friendly.
Run tuition and invoices through each organization’s Stripe account while giving families clear balances, flexible payment methods, and full statements.
One ledger. Two audiences.
Administrators work with plans, invoices, fees, refunds, and finance insights. Guardians see a balance, an itemized statement, and the payment methods their organization has turned on. Both sides read the same records, so the number a family sees is the number your team sees.
Money moves through Stripe. Each organization onboards to its own Stripe Connect Express account, and payouts land in that account rather than passing through Reef.

Set up billing once, then run the month with it.
Three pieces of work: connect the account, describe how you charge, and let the schedule do the repetitive part while your team handles the exceptions.
Connect the account
Each organization onboards to its own Stripe Connect Express account and receives its own payouts. Payments are processed by Stripe, and the merchant relationship belongs to the organization.
Describe how you charge
Recurring tuition and one-time plans support pricing models, intervals, subscriptions, proration, and billing anchors - so a mid-cycle start is charged for the part of the cycle it actually used.
Let the nightly run work
Nightly jobs generate invoices, charge the items that are due, and process overdue status. Automation carries the routine; your team still reviews what the run shows.
Handle the parts a schedule cannot decide
Front desks deal in exceptions. Staff can create and cancel invoices, record a manual payment when a family pays by cash or check, issue a refund against an invoice, and bulk assign or remove plans when a session changes shape.
- Create and cancel invoices
- Record manual payments taken in person
- Issue refunds against an invoice
- Bulk assign or remove plans
- Flat and percentage processing fees
- Fee absorption by the organization
- Tax flags on billable items
- Family and athlete discounts
Bulk actions cover plan assignment and removal. Invoices are created and cancelled individually. Fee and tax settings are switches you control - Reef does not provide tax or legal advice.

Give families a balance they can act on.
Guardians can see what they owe, what each line is for, and what has already been paid - then pay a single invoice or everything outstanding in one step.
- Household balance with itemized invoice lines
- Statements, receipts, and year-to-date paid
- Pay one invoice, or all outstanding invoices
- Manage saved cards and ACH bank payments
- Turn on auto-pay for future charges
A view-only guardian seat can follow schedules and progress without payment actions, and a guardian outside the household can be given access to one child without seeing the household ledger. When a charge needs attention, the item can stay pinned in the notification feed until the underlying issue is resolved.
Which payment methods a family sees depends on how that organization has configured billing.

The money and the record stay in agreement.
Billing disputes usually start with two systems telling different stories. The price is calculated by Reef, not the browser, and payment state comes from Stripe, so the record does not depend on what a screen happened to display.
Stripe webhooks - not the success screen - determine payment state.
Reef marks a payment when Stripe’s webhook confirms it. If a tab closes, a connection drops, or a family reloads mid-checkout, the state still resolves from the processor’s event rather than from the screen.
Because the price is calculated by Reef rather than by the browser, a total cannot be edited on the way to checkout. When a card fails the extra verification step its bank asks for, the payment can fall back to a manual payment your team records. Not every failed payment recovers on its own, so the ones that need a person stay visible as work to do.

Payments are processed by Stripe. Reef is not a bank, a merchant of record, or a payment processor. Available payment methods and fee behaviour depend on each organization’s configuration.
The same records, seen from three seats.
Billing access follows permission, not job title.
A coach without billing permission does not see household financials, and that boundary is enforced in the interface and in the database rather than by a screen hiding a button.
Billing also touches enrollment and families, classes and scheduling, staff and operations, and insights and AI.
