Feature index

Everything Reef does today, in one list.

Every capability below is built and live in Reef right now.

Enrollment

  • Staff-guided enrollment from athlete and household selection through class handoff, without leaving the flow
  • Potential duplicate athletes flagged before a second record is created
  • Remaining steps handed to a guardian by email, QR, or a controlled shared device
  • Drafts tracked through invitation, verification, requirements, readiness, and completion
  • Authorization, locked seat claim, capture, cancellation, and refund coordinated so a parent is not charged for a seat they did not get
  • The price calculated by Reef, not the browser, and checked again before confirmation
  • Card, ACH, and $0-due-today payment paths
  • Required enrollment forms automatically assigned and verified before completion
  • Capacity, waitlists, auto-promotion on drop, drop-ins, and makeup eligibility

Payment path availability depends on how an organization is set up. Reef flags likely duplicate athletes for a person to resolve; it does not claim perfect identity matching.

Athlete records & roster

  • Profiles with identity, program, level, group or team, coach, avatar, medical, emergency, size, notes, and activity tabs
  • Staff-only internal notes kept separate from family-visible information
  • Staff scope limited to all athletes or only assigned groups, enforced in the interface and the database

Visibility of sensitive profile information depends on permission. Not every profile note is private - internal notes are the ones held back from families.

See how athlete records and rosters work

Families & guardian access

  • A family record as the hub for household billing and access
  • Full-action or strictly view-only household guardian seats
  • Child-specific access for a guardian outside the household, with no second bill and no household-ledger visibility
  • Access blocked or downgraded for one child without changing the others

Full guardian access remains permissioned, and Reef does not verify custody arrangements or model every jurisdiction’s family law.

Classes

  • Organization-defined program and level hierarchy
  • Classes with capacity, coach, location, program, level, multi-day times, and resource assignment
  • Reusable class templates in draft, published, and archived states
  • Day and time overlaps and resource double-booking shown before save

Reef shows the conflicts it checks for. It does not auto-schedule or optimize your timetable, and it does not claim to catch every possible conflict type.

Explore class setup

Scheduling

  • A 15-minute, resource-based weekly planning grid with organization-defined resource types
  • Weekly, biweekly, and monthly recurrence rules with variants
  • Schedule changes staged, reviewed, and deliberately published with automatic announcements
  • Staff roles, recurring shift series, assignments, open shifts, breaks, and paid-hour totals
  • Month, week, and day calendar of classes and events with schedule blocks and previews

Review happens on a review screen. Reef does not model multi-step approval chains, does not calculate payroll, and does not sync with external calendars.

Attendance

  • Sessions opened, closed, reopened, batch marked, and noted using five attendance statuses
  • Attendance reported by athlete, class, or date range
  • Attendance rates shown in athlete profiles and on dashboards

Attendance reporting describes what happened. Reef does not present it as predictive analytics.

Explore attendance

Makeups

  • Parent-reported absences creating policy-based makeup credits with configurable expiry
  • Credits restricted to any open class, or to the same program and level
  • Families requesting and booking makeups, and joining standby
  • Expiring standby offers moving on to the next family
  • Makeup slot fill-rate insights for staff

Whether a credit is created, and whether a booking needs approval, follows your organization’s policy. Credits cannot be used at another organization, and fill-rate insight is an operational view rather than revenue forecasting.

Skills & progress

  • Program-organized skill categories, levels, requirements, and pass-off counts
  • Pass-offs recorded by authorized coaches, with notes and attribution
  • Athlete skill progress shown in both the staff and family experiences

You build the skill library; Reef does not ship a standardized curriculum, and it does not judge or score a skill for you.

Competitions

  • Per-athlete competition records, event scores, totals, history, and upcoming events

Reef keeps the athlete’s competition record. It is not meet management or scoring software.

Billing & payments

  • Organization-owned Stripe Connect Express onboarding and payouts
  • Recurring tuition and one-time plans, pricing models, intervals, subscriptions, proration, and billing anchors
  • Nightly jobs that generate invoices, charge due items, and process overdue status
  • Flat or percentage fees, tax flags, family and athlete discounts, and fee absorption
  • Invoice creation and cancellation, recorded manual payments, refunds, and bulk plan assignment or removal
  • Collections, outstanding and upcoming revenue, collection rate, aging, overdue balances, payment health, auto-pay adoption, and failed-payment rate
  • Family balances, itemization, statements, receipts, YTD paid, pay one or pay all, card and ACH management, and auto-pay
  • Stripe webhooks as the source of truth for payment state, with a manual payment fallback when a card’s extra security check fails

Payments are processed by Stripe. Reef is not a bank, a merchant of record, or a payment processor; it does not produce accounting statements or revenue forecasts; and it does not give tax or legal advice. Payment options for a family depend on how the organization is configured, and not every failed payment recovers on its own.

Staff time & payroll periods

  • Eligible staff clocking in and out from devices, with live and past time information
  • Geofenced punches configured per location, with authorized override
  • Approval requirements for unscheduled punches, automatic punch closing, and edit-request review
  • Per-staff payroll-period entries with CSV export

The time clock is a record of work, not a surveillance tool. Export is not a payroll filing, and device and browser support is confirmed by testing rather than promised in advance.

Integrations

  • QuickBooks Online connection, employee mapping, and nightly sync of approved hours as TimeActivity records
  • A connected and verified custom sending domain using the SPF and DKIM records Reef provides

The QuickBooks connection covers approved hours as TimeActivity records only - not invoices or accounting. A verified domain lets mail come from your address; no one can promise inbox placement.

Documents & forms

  • Upload, preview, download, rename, delete, search, multi-page scanning, and expiry tracking
  • Forms built from a blank page or an uploaded PDF or image, with formatted fields positioned on the page
  • Field suggestions on uploaded documents
  • Requirements, locked values, autofill, consent, sensitivity, expiry, renewal, status, and bulk assignment

Reef suggests fields; a person reviews and confirms them. Sensitive documents respect access rules, and Reef makes no claim about the legal validity or enforceability of a completed form.

Explore documents and forms

Incidents

  • Numbered incidents with type, priority, status, people involved, reporter, location, attachments, notes, and a timeline
  • Linked incidents, attached report forms, administrator notification, and report export

Incident records are an internal documentation workflow. Reef is not an emergency-response system and does not file reports with outside agencies.

Explore incident records

Messaging & notifications

  • Real-time direct and group messaging with participant management, typing indicators, and read receipts
  • Announcements broadcast to selected groups, audiences, or the whole organization, with expiry
  • In-app, native push, email, and SMS notifications according to preferences
  • Important items pinned until resolved, routine items aging out, duplicates collapsing, and resolution dismissing

Announcement audiences depend on permission, delivery can depend on external providers and device settings, and Reef makes no end-to-end encryption or universal deduplication claim.

Explore messaging and notifications

Family experience

  • Guardians using feed, calendar, classes, inbox, billing, makeups, forms, athlete detail, and preferences
  • Switching between children and between organizations with one login

This is the same application, shaped by role - not a separate product for families. Switching only reaches organizations and children where a valid seat or grant exists.

See the guardian and family experience

Dashboards

  • Administrator dashboard with attention items, metrics, trends, capacity, clocked-in staff, classes, schedule, and recent activity
  • Role-specific dashboard information for coaches and guardians

Any figure in our illustrations is an example. Reef does not present sample metrics as customer results.

Explore dashboards

Locations

  • Multiple locations, with the active scope switching across operational areas
  • Location-restricted access enforced in the database, while organization-wide records stay visible

See how multi-location organizations use Reef

Permissions

  • About 30 individual permissions, role templates, per-user overrides, roster access tiers, and location assignment
  • Enforcement in the interface and in the database

Access architecture is one part of security, not a guarantee on its own.

Read the permission and enforcement model

Organization settings

  • Configurable identity, colors, logo, locations, time-clock rules, makeup policy, programs, levels, and sending domain

Your branding applies inside Reef. There are no separately branded app-store builds.

AI assistant

  • Lookups of supported operational records, from any staff page
  • Supported actions performed on request, plus navigation to the right screen
  • Permission-scoped tools, with reads executing under the calling user’s own database access

The assistant’s scope is the listed lookups, actions, and domains a user already has permission to reach. It is not general automation, it cannot bypass a permission, and like any assistant it can be wrong - so its work is visible and reviewable.

Platform & experience

  • One Flutter app, on every device - iOS, Android, web, macOS, Windows, and Linux
  • Light, dark, and system appearance
  • Screens show what Reef already knows, then refresh in the background
  • The shape of what is coming while data loads, instead of a blank screen
  • Offline detection, real-time updates, account switching, and links that open the exact invoice, class, or form they refer to

Reef detects a dropped connection; it is not fully offline-capable. Downloadable availability is advertised only for the platforms where a build is actually distributed.

Boundaries

What Reef does not claim.

The list above is the whole of it. Bangai Labs does not market capabilities it has not shipped, so here is the other half of the truth.

Competition records, not meet management

Reef keeps each athlete’s competition records, event scores, totals, history, and upcoming events. It does not run a meet, manage sessions, or score one.

Hours, not payroll

Reef records approved hours, creates payroll-period entries, and exports CSV. It does not process payroll, calculate pay, or file anything. Its QuickBooks connection carries TimeActivity records - not invoices or accounting.

No CRM, website builder, store, or public API

There is no lead pipeline, no marketing automation, and no recruiting module. Reef does not build your public website, and it does not sell merchandise or track inventory. There is no public API and no single sign-on, and Reef does not sync to external calendars - its own calendar and notifications carry the schedule instead.

No migration promise, no free trial

Reef does not advertise a data migration, and there is no self-serve free trial. If you want to see how it fits your organization, we walk you through it.

Security

Architecture you can inspect, not badges you have to trust.

Reef makes no compliance-certification claims on this website. Instead, the security page describes the concrete access approach: organization scope on every record, location assignment, roster access tiers, about 30 individual permissions, and enforcement in the database behind all of it.
