Enrollment
Fill a seat without losing the family - or control of the process.
Staff can begin an enrollment, detect duplicate athletes, choose a class, and hand the remaining steps to a guardian by email, QR, or shared device. Reef verifies forms, pricing, payment, and capacity before enrollment completes.
A parent is never charged for a seat they didn’t get.
Reef holds the card, claims the seat, then takes the payment. If the class fills during checkout, the hold is released. If anything fails after that, the charge is refunded automatically.

Build class schedules in a 15-minute grid, catch overlaps before saving, hold changes as a draft, review the conflicts, and publish only when the schedule is ready. Staff shifts, open assignments, personal schedules, and a shared calendar sit alongside the class plan.

Review conflicts
Reef shows day and time overlaps, and double-booked coaches or rooms, before a save is accepted - so problems appear on the review screen, not on the floor.
Publish deliberately

For the organization
Give each organization its own Stripe Connect merchant account and payouts. Run recurring tuition, invoices, scheduled charging, overdue processing, discounts, fees, refunds, and manual payments - with built-in finance insights.
For the family
Families can pay one invoice or all outstanding invoices, use cards or ACH, manage payment methods, turn on auto-pay, and see receipts and full statements.

Payments are processed by Stripe. Reef is not a bank, a merchant of record, or a payment processor. Approved staff hours sync to QuickBooks Online as hours only - not invoices or accounting.

From one mobile-first experience, guardians can follow schedules, messages, invoices, forms, absences, makeups, skills, attendance, competitions, and updates for every child. Access reflects how families actually work - including guardians outside the household, who never see the household ledger.

The staff workspace includes a natural-language assistant that can look up information, navigate to the right page, and take permitted actions such as posting an announcement, adding an athlete note, creating an event, sending a message, or editing supported records.
The AI assistant cannot bypass a user’s permissions.
The assistant’s tools are permission-scoped. If a user does not have access to a capability or record, the assistant does not bypass that restriction.
